Custom Project Management · Mumbai & Worldwide
A system that follows your delivery process,
not a generic board it forces you onto.
We build project systems around how your team actually delivers work — work items, ownership and assignment, statuses and dependencies, and role-appropriate visibility. Automation is configured assistance, not a substitute for your team's decisions. Looking for a system that tracks a sales pipeline instead? See our custom CRM page.

Prateeksha builds custom project management systems in Mumbai around a real delivery workflow — work items and projects, ownership and assignment restricted by role, statuses, deadlines and dependencies between tasks, and files attached directly to a task. Reporting is a basic activity count, only as accurate as what your team actually logs. Kanban-style project views are real; we do not promise a Gantt/timeline-chart view. We do not promise faster delivery, fewer delays, automatic task routing, a client portal, WhatsApp or calendar integration, or a guaranteed migration from Trello, Asana or Monday. This is a distinct service from our custom CRM, which follows a sales pipeline rather than delivery work.
Where project systems go wrong
Most delivery breakdowns happen because work is scattered across tools nobody fully trusts.
- 01
Work scattered across messages and spreadsheets
Tasks tracked in chat threads, inboxes and spreadsheets that never quite agree with each other.
- 02
Ownership that isn't clear
A task exists, but no one is confidently the owner, so it waits for someone to notice it.
- 03
Status updates gathered manually
Someone has to ask around and assemble a status report instead of reading it from the system.
- 04
Dependencies nobody tracks
One task blocks another, but nothing records that relationship until the delay is already visible.
- 05
A generic tool that doesn't match the workflow
An off-the-shelf board that's close but not quite right for how this specific team actually works.
What a mapped workflow changes
Your delivery process modelled before a single screen is built.
We map your work items, ownership rules and status flow first, so the system reflects how your team actually delivers — not a generic board. Built on the same Laravel foundation this agency runs internally. Looking for a system that tracks a sales pipeline instead of delivery work? See our custom CRM.
- Work items and statuses mapped to your actual delivery process
- Ownership scoped by role, not assumed or left open
- Deadlines and dependencies tracked between related tasks
- Files attached directly to the task they belong to
- Reporting built honestly from what your team actually logs

Intake, plan, assign, review, complete — in that order.
The same sequence for a focused single-team workflow or a larger, multi-workflow system.
Intake
A new project or work item enters the system through an agreed, scoped path.
Plan
Deadlines and dependencies are set, so related work is understood before it starts.
Assign
An owner is set, scoped by role — configured assignment, not an automatic decision.
Review
Status updates are read from the system, not assembled by asking around.
Complete
Work is marked complete, building a real, queryable history of what shipped and when.
What changes
Adapting to a generic tool vs. purpose-built workflow support.
Neither is automatically better. Off-the-shelf tools genuinely fit many teams well — the right choice depends on how much your workflow differs from a standard board.
Suited to
Built for teams with a delivery workflow worth tracking properly.
Not every team needs a custom build — we're honest about which of these genuinely do, and when a standard tool is the better fit.

Three ways to start, depending on where your workflow is today.
A workflow review, a focused build, or a phased multi-workflow system — each is a legitimate, honestly-scoped starting point.

FAQs
Custom project management — frequently asked questions.
Straight answers on scope, integrations and what this service does and doesn't include.
Not sure if you need a project system or a CRM? Tell us your process and we'll advise honestly.
A custom project management system follows work through a delivery process — work items, ownership, statuses and dependencies. Our custom CRM follows opportunities through a sales process instead — contacts, pipeline stages and follow-up. If you need to track a sales pipeline rather than delivery work, see our custom CRM page.
Off-the-shelf tools like Asana, Monday or ClickUp are mature, well-built products, and for many teams they are genuinely the right choice — we're not here to talk you out of a tool that already fits. A custom system makes sense when your workflow has specific stages, approvals or roles that a general-purpose tool doesn't reflect well. Tell us your workflow and we'll advise honestly, including if a standard tool is the better fit.
No. We build work-item tracking, ownership and status visibility that support a clearer delivery process, but we can't guarantee outcomes that depend on how your team actually uses the system day to day. We're honest about that rather than promising a result we can't control.
Tasks can be assigned to a specific owner, and assignment is restricted to the roles you define — but this is configured assignment, not an automated routing engine that decides on its own. A person still makes the call on who owns what; the system just makes ownership and status visible.
Kanban-style project views are a real, working project type. We don't have a Gantt/timeline-chart view or a client-facing portal to point to, so we won't claim either — if your project genuinely needs one, we'll scope it honestly as new work rather than imply it's already included.
We don't have an evidenced WhatsApp notification, Google Calendar sync, or accounting-software integration built into this system as standard. Files can be attached directly to a task. If your project needs a specific integration, we'll scope it during discovery and tell you plainly what is and isn't feasible.
Migration is possible depending on what your current tool can export or what API access it offers, and the quality of that data. We don't promise a guaranteed clean migration from any named platform — we'll review your export first and tell you honestly what to expect.
Cost and timeline depend on the number of workflows, roles and any integrations you need. We don't publish a fixed price list or a fixed week-count, since a focused single-team system and a multi-department platform are very different projects. Share your workflow and we'll give you a clear, scoped estimate.
Yes, as a separate service covering monitoring, fixes and incremental improvements. We don't publish a specific uptime guarantee or response-time SLA; see our website maintenance service for what is actually included.
